Templates in ISMS.online let you create a pre-defined project structure designed to help you achieve a specific outcome.

For example:

  • You might have a template for another information security standard such as NIST. Creating a project from that template will lay out the requirements and provide a space to document how you meet them — similar to how the ISO 27001 Policies and Controls area works.
  • You may also have pre-built templates for recurring HR processes, such as Recruitment or Induction, aligned with your policies in section A.7 of the 27002 Annex. These templates guide hiring managers through key security-related tasks such as background checks, account setup, and induction into your information security policies.

Creating a Project from a Template

To see available templates:

  1. Go to the Work menu and select All Work.
  2. Click Create New.
  3. Choose Project, then click Create.

On the next page, you’ll see a list of templates available to your organisation.

  • Templates created by your organisation will appear first.
  • Templates from ISMS.online or partners are listed below.
  • Use the search bar to find a template by name (e.g. “ISO 27001” or “Recruitment”).

Hovering over a template name will show details about what it includes, such as pre-populated notes, documents, or tasks. Clicking a template will start the creation process for your new project.

Customising a Project from a Template

Projects created from a template will have pre-populated Phases, Deliverables, and Activities. Just like any other project in ISMS.online, you can edit, delete, or add new items to suit your needs.





Creating a New Project Template

Project Templates enable repeatable work, such as business continuity plans or standard onboarding activities for new staff.

Any existing project can be turned into a template — but note:

  • Once converted, it will no longer appear in All Work or Project listings.
  • If you still need the original project, clone it first, then convert the clone into a template.

Before converting to a template:

  1. The project’s current name will become the template name.
  2. The project’s image will be shown next to the template name in the creation screen.
  3. After creation, you can edit all aspects of the template except its description.




To create a template:

  1. Open the project and click Settings (top right).
  2. Scroll to Advanced Project Settings and select Convert to Template.
  3. In the pop-up menu, you can:
    • Add a description (displayed when hovering over the template name).
    • Choose to include Notes, To-dos, and/or Documents.
  4. Save your changes.

Tip: Note the project ID (found in the project URL). This makes it easy to locate the template later for updates.

Updating an Existing Project Template

When you update a template’s structure, the changes apply to new projects created from it (existing projects remain unchanged).

You can only edit templates:

  • Created by someone in your organisation.
  • Where you are an admin on the template project.

If the template includes notes, documents, or discussions, only the latest version of each will be copied into new projects.

To edit a template:

  1. Go to Work > All Work.
  2. Click Create New.
  3. Choose Project.
  4. In the template list, hover over the template you want to edit.
  5. Note the ID shown at the end of the link in your browser’s status bar.
  6. Open any project you can access, then replace the number in the URL after /projects/ with the template’s ID and press Enter.
  7. This will open the template project for editing.
