Note: You must be an Organisation Administrator to access usage reports.
Usage reports are designed to give you clear visibility of how ISMS.online is being used across your organisation. As an Administrator, you can generate reports to understand activity at both organisation and user level.
What You Can Report On
- Organisation items – Export a list of Projects, Accounts, Alliances, or Groups. See who is responsible, the number of team members, when they were last updated, and other key details.
- User overview – View users active within a selected timeframe, with a breakdown of their contributions and interactions on the platform.
- Activity by module – See activity data by work area, showing how users are engaging with different parts of the platform.
- Activity by tool – Understand which platform tools users are working with most.
- Logins – Track the number of logins over a chosen period, presented in a graph to show trends and peak usage times.
Accessing Usage Reports
- Open the Organisation settings page from the top-right user dropdown.
- Select the Usage reports tab.
From here, you can generate the different report types.
Organisation Items Report
The Organisation Items report provides a list of all work areas in use. It includes:
- Name of the area
- Number of team members
- Tasks, Documents, and Discussions
- Last updated date
- Creator and their email address
For Projects, the report also shows start and end dates, number of Phases, Deliverables, Activities, and percentage completion.
To export a report:
- Click the relevant button for the Organisation Items report.
- The report will begin processing and appear in your Updates feed when ready.
- Click the link to download and open it in Excel.
User Overview Report
This report shows a list of users and their activity within a selected timeframe. Activity is categorised as:
- Giving – Active contributions such as replying to a Discussion, uploading a document, or creating a Group.
- Receiving – Viewing activity such as reading a Discussion or downloading a document.
To view the report:
- Click View next to User overview.
- Use the Change button above the report to select your desired timeframe.
- Sort the list by Giving or Receiving as needed.
Activity by Module Report
The Activity by Module report breaks down user activity by work area. Giving and Receiving data is displayed in percentages.
To view the report:
- Click View next to Activity by module.
- Select your timeframe in the same way as the User Overview report.
- Sort by the Give or Rec columns to organise results.
Activity by Tool Report
This report shows user activity by tool. Giving and Receiving data is displayed in the same way as the User Overview and Module reports.
To view the report:
- Click View next to Activity by tool.
- Sort results using the Give or Rec columns.
Logins Report
The Logins report displays the total number of logins from your organisation across a selected timeframe. Data is presented in a graph for easy trend analysis.
To generate the report:
- Select whether you want to view results by Day, Week, Month, or Quarter.
- Click View.
- Choose your timeframe as with the other reports.
